Digitizing archives is one of the most sensitive undertakings for a Masonic lodge. It is not just about scanning documents: it means preserving, organizing, and making accessible an entire history — sometimes a century old — to authorized Brothers and Sisters, without ever compromising the discretion that defines our institution.
Step 1: Take stock of what exists
The first step is to take stock of what exists. Roll calls, minutes, lodge tables, correspondence with the Obedience… Each document must be classified by type and period. We recommend adopting a stable naming convention: YYYY-MM_type_description.
Step 2: Choose the right platform
Once digitized, files must be hosted on a secure platform, ideally one dedicated to lodges. Consumer-grade solutions (Google Drive, Dropbox) guarantee neither data residency in your country nor confidentiality from these platforms' own algorithms.
My Lodge offers an encrypted document space, accessible by role, that meets these requirements while remaining simple to use for all members.
